AI Systems ROI and Payback Period: A Simple Method
Before buying any AI system, estimate whether it can pay for itself. This method uses your own numbers, not vendor promises.
The formula
Monthly gain = extra jobs per month × average profit per job. Payback period = total cost ÷ monthly gain.
Go deeper: Payback period explained
A worked example
Suppose you miss 40 calls a month, a text-back recovers a share of them into 3 extra jobs, and each job makes $200 profit. The monthly gain is $600. If the system and messaging cost $100 in the first month, payback is well under one month. Your figures will differ — use your own.
Inputs to be careful with
Use profit, not revenue. Be conservative about how many extra jobs AI will create, and include ongoing usage fees for phone, SMS and AI providers.
Where to start
Pick the system closest to your biggest leak and test it for a month.
